End-to-End Web-Based Sales Automation for Group Business Lines
The Group Sales Portal fully automates the sales-related activities of both the internal health plan sales team and external producers such as brokers, including the live generation of quotes and proposals. The Group Sales Portal can also facilitate online renewals by allowing sales personnel to track, update and modify information, generate renewal quotes, and create renewal proposals for clients in their book of business.
The Group Sales Portal streamlines data acquisition activities between different business units and significantly reduces quoting, enrollment and retention timelines. The result is enhanced new membership acquisition coupled with strengthened member retention, supporting plans' aggressive growth strategies.
New Business Functionality
The Group Sales Portal can support the following activities for small-group, mid-market and large-group sales:
- Capture basic information for prospects, and create a prospect list
- Upload preliminary group census information
- Provide tier selection (two, three or four tiers)
- View, print and download individual quotes and plan benefit summaries
- Download detailed plan benefits and descriptions
- View, print and download side-by-side benefit summary comparisons across all suggested products
- Email quotes and proposals from within the portal
- Request quote customization from underwriters
- Generate proposal documents, including cover sheet, customizable cover letter, sales and marketing message sheet, quote-related plan benefit summaries and rate sheets, and contact details page (e.g., broker, agency and health plan contact details)
- Download and preview proposal documents prior to submission
- Email, e-fax, or download and print final proposal documents for mailing to the prospect group, or submit proposal documents to employers via ikaSystems’ Employer Portal
- Initiate online enrollment for employer groups
- Search for records by plan, product, provider criteria (e.g., first and last name, zip code, specialty, distance from location, affiliations), client and prospect within a book of business
- Track clients’ monthly invoices and payments online
For large-group sales, the Group Sales Portal can support the submission of more comprehensive information for accurate quoting purposes, including:
- Basic employer group information, such as location and group size
- In-force carrier information, such as benefits, rates and claims
- Other renewal options an employer group is considering from competitors
A large-group census can be easily uploaded, as can supporting documentation.
The Group Sales Portal can be used for manual product quoting, medically underwritten quote generation and experience-rated underwriting for groups.
Renewal Functionality
In addition to the activities shared with the new-sales process, the Group Sales Portal
can automate and support the following activities for small-group, mid-market and
large-group renewals:
- View an entire book of renewal business according to a health plan’s unique business rules — for example, the Group Sales Portal will list all renewing groups automatically in the renewal queue a set number of days prior to group-renewal anniversary dates
- Review system-generated “as-is” renewal plans, which are automatically generated
using a plan and rider crosswalk provided by the health plan
- Review system-generated alternative renewal quotes that are automatically offered to renewing groups based on existing benefits and controlled by health plan business rules
For large group renewals, the Group Sales Portal can allow users to:
- Review underwriter-generated renewal plan options (experience rating by underwriters)
- Download rate justification sheets for renewal rates proposed by the health plan
- Provide detailed information about renewal products being offered by in-force carriers, with details such as active rates, retiree rates, benefits and co-pay amounts
